BEREC – 12th Stakeholder Forum

Organizing events for governmental organizations comes with unique challenges and intricacies, such as rigorous security protocols, public scrutiny and engaging diverse stakeholders. For such events, technology can act as a catalyst: promoting collaboration, facilitating meaningful discussions and connecting a diverse audience, regardless of their physical or geographical constraints.

BEREC

The Stakeholder Forum is the organization’s flagship event, featuring simultaneous sessions, meet & greets and discussion panels. Hosted at the Plaza Hotel in Brussels, an ideal location due to BEREC’s close collaboration with the European Commission. The Commission relies on BEREC’s expert recommendations for formulating EU policies and regulations on electronic communications.

The Stakeholder Forum is a crucial event for discussing the latest telecom advancements and exchanging ideas with participants from all over the world. BEREC’s main objectives were to increase accessibility and attract a global audience while provide a next-level experience.

Our solution

Delivering the BEREC Stakeholder Forum meant navigating a complex set of needs—from high-level security and multilingual accessibility to seamless digital and in-person experiences. We approached this by working closely with BEREC to understand their goals and translate them into practical, scalable solutions.

We started by building a tailored event website and registration platform, making it easy for participants from around the world to find what they were looking for. On the day of the event, onsite badge printing helped manage arrivals smoothly, while our technical production team handled everything from stage design to multi-camera streaming, ensuring every session was captured and shared in real time.

To support global participation, we enabled interactive and multilingual streaming, and used animated content to make complex topics more engaging. A social media campaign helped extend the event’s reach, while a data analytics report provided BEREC with clear insights into audience engagement.

This wasn’t just about technology—it was about creating the right environment for meaningful conversations and collaboration.
